Job Description

Hogan Lovells US LLP is seeking an experienced Executive Administrative professional to join our team. The ideal candidate will have a strong attention to detail, exceptional communication skills, and the ability to thrive in a fast-paced environment.

Key Responsibilities
  • Maintain calendars, contact information, and other pertinent details in Outlook and the firm-wide contact database.
  • Answer telephone calls, accurately record and relay communications, and schedule meetings for firm management, practice areas, and practice groups.
  • Coordinate travel arrangements through the in-house Travel Department and prepare fee-earners' expense reports.
  • Provide exceptional support in document preparation, including creating, editing, and proofreading work product.
  • Assist with time recording and billing generation, including recording, reviewing, and editing time entries.
  • Perform various administrative tasks, including organizing and maintaining administrative and client files, and coordinating with the Records Department to safeguard confidential records.
Requirements
  • 7+ years of previous administrative assistant or executive assistant experience.
  • 2-5 years of law firm experience preferred.
  • Law firm or related experience strongly desired, preferably in a large firm or large company environment.
  • College degree preferred, but not required.
Working Conditions

Core hours are Monday through Friday, 9:30 a.m. to 6:00 p.m., including lunch hour, with flexibility for overtime as needed.
