Primary Responsibilities:

  • Manage incoming phone calls and direct them appropriately.
  • Oversee the appointment scheduling system.
  • Track employee work schedules and timekeeping records.
  • Monitor and address holds, voids, and rejected tax returns.
  • Organize meetings and document detailed minutes.
  • Draft and distribute various forms of correspondence including emails, memos, letters, and faxes.
  • Assist in compiling and preparing regular reports.
  • Establish and maintain an efficient filing system.
  • Support overall office operations and administration.
  • Serve as the primary contact for client inquiries.
  • Collaborate with executive and senior administrative staff to address requests and inquiries from management.

Qualifications:

  • High School Diploma or GED, or equivalent relevant experience.
  • Preferred coursework in management, tax preparation, or accounting.
  • A minimum of two years of prior office experience.
  • Proficient in various software applications including email, internet browsers, Word, Excel, and accounting or tax preparation software.
  • Previous experience in tax preparation and possession of a PTIN (Preparer Tax Identification Number) is preferred.
