Primary Responsibilities:
- Manage incoming phone calls and direct them appropriately.
- Oversee the appointment scheduling system.
- Track employee work schedules and timekeeping records.
- Monitor and address holds, voids, and rejected tax returns.
- Organize meetings and document detailed minutes.
- Draft and distribute various forms of correspondence including emails, memos, letters, and faxes.
- Assist in compiling and preparing regular reports.
- Establish and maintain an efficient filing system.
- Support overall office operations and administration.
- Serve as the primary contact for client inquiries.
- Collaborate with executive and senior administrative staff to address requests and inquiries from management.
Qualifications:
- High School Diploma or GED, or equivalent relevant experience.
- Preferred coursework in management, tax preparation, or accounting.
- A minimum of two years of prior office experience.
- Proficient in various software applications including email, internet browsers, Word, Excel, and accounting or tax preparation software.
- Previous experience in tax preparation and possession of a PTIN (Preparer Tax Identification Number) is preferred.
