Position Overview
The Exhibition Coordination Assistant plays a crucial role in the curatorial department, handling a variety of logistical, administrative, research, and implementation tasks. This position is integral to both collection-focused projects and special exhibitions. The role involves collaboration with colleagues in the department as well as interaction with the public and other staff members across the organization.

Key Responsibilities
The responsibilities of this position include, but are not limited to:
  • Oversee daily operations within the curatorial department, addressing public inquiries, managing correspondence, and maintaining subscriptions.
  • Act as the primary contact for technology platforms such as SharePoint, Tessitura, ClickUp, and the museum's Digital Asset Management System, ensuring curatorial content is uploaded, updated, and managed effectively.
  • Develop and manage departmental budget templates, processing payment forms for various projects.
  • Organize exhibition planning sessions and departmental meetings, preparing necessary materials.
  • Assist in the preparation for quarterly Works of Art Committee meetings.
  • Coordinate conference calls and meetings with artists, collectors, and arts organizations.
  • Support curators in the timely preparation of materials related to collections and special exhibitions, including funding proposals, checklists, loan letters, budgets, image research, wall texts, object labels, and public relations materials.
  • Facilitate the scheduling of traveling exhibitions, collaborating with external museums, contributors, and contractors as needed.
  • Maintain comprehensive archival records of all exhibitions and related materials.
  • Develop plans and timelines for collection rotations, conducting research and writing interpretive materials.
  • Engage with the public and museum supporters through virtual and in-person gallery talks and tours.
Qualifications
This role requires a Bachelor's or Master's degree in art history, arts management, or a related field, along with a minimum of 3 years of relevant experience in a museum, gallery, or cultural institution. The ideal candidate will possess the following skills and experience:
  • Exceptional organizational abilities, keen attention to detail, and a capacity to manage multiple tasks.
  • Strong interpersonal skills with a positive and adaptable attitude.
  • Excellent verbal and written communication capabilities.
  • A genuine passion for research and art historical writing.
  • Ability to work independently as well as collaboratively within a team.
  • Experience with cause-related organizations and groups.
  • Proficiency in Zoom and Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, OneDrive, SharePoint).
  • Familiarity with Tessitura and ClickUp, along with experience in database management, is advantageous.
