Position Overview
The **Art Collection Coordinator** is a full-time role responsible for the logistical, administrative, research, and execution tasks within the curatorial division. This position involves working on collection-related projects as well as special exhibitions. The role requires collaboration with department colleagues and direct interaction with the public, alongside cooperation with various staff members throughout the organization. This position reports to the Deputy Director for Art, Programs, and Public Engagement/Chief Curator.

Key Responsibilities
Responsibilities may include, but are not limited to:
  • Oversee daily operations of the curatorial division, including addressing public inquiries, managing correspondence, and overseeing subscriptions.
  • Act as the department's primary contact for technology systems such as SharePoint, Tessitura, ClickUp, and the museum's Digital Asset Management System, ensuring the upload, update, and management of curatorial content.
  • Develop budget templates for the department and manage existing budget functionalities. Process payment requests for departmental initiatives.
  • Organize exhibition planning and departmental meetings, preparing necessary materials.
  • Contribute to the preparations for quarterly Works of Art Committee meetings.
  • Facilitate communication with artists, collectors, and arts organizations through conference calls and meetings.
  • Assist curators in the timely preparation of information for collections and special exhibitions, including funding proposals, checklists, loan correspondence, budgets, image research, wall texts, object labels, and other public relations materials.
  • Support curators in scheduling traveling exhibitions, coordinating with external museums, contributors, and contractors as necessary to finalize projects.
  • Maintain an archival record of all exhibitions and related materials produced.
  • Develop strategies and timelines for collection rotations, researching objects, writing interpretive content, and processing materials created by the curatorial and educational teams.
  • Engage with the public and museum supporters through virtual and in-person gallery talks and tours.
Qualifications
This position requires a Bachelor's or Master's degree in art history, arts management, or a related field, along with 3 years of relevant experience (full-time or equivalent) in a museum, gallery, or cultural environment. The ideal candidate will possess the following skills and experiences:
  • Exceptional organizational abilities, attention to detail, and capacity to manage multiple tasks simultaneously.
  • Strong interpersonal skills and a positive, adaptable attitude.
  • Excellent verbal and written communication capabilities.
  • A genuine passion for research and art historical writing.
  • Ability to work both independently and collaboratively.
  • Experience with cause-related organizations and groups.
  • Proficiency in Zoom and Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, OneDrive, SharePoint).
  • Familiarity with Tessitura and ClickUp, along with experience in database management, is advantageous.
