Key Responsibilities:

  • Oversee accounting operations, including banking activities such as deposits, fund transfers, and wire transfer setups.
  • Manage office budgeting and cash flow, accounts receivable, accounts payable, and payroll functions.
  • Handle Client Fee Retainers in the Client Trust account and prepare key management reports, including financial statements and tax reporting documents.
  • Ensure smooth daily office operations, including information systems and facility management.
  • Assist with client billing and address inquiries related to billing and compliance.
  • Manage vendor relationships for office supplies, equipment, and services, as well as insurance and business license renewals.
  • Support human resource functions by overseeing non-attorney personnel.
  • Become proficient in the firm's case management system and collaborate with the Cloud Host to maintain secure data and systems.
  • Interact with management and staff to provide assistance as needed.

Qualifications:

  • A minimum of five years of experience in office administration, specifically in billing, accounts receivable, accounts payable, or payroll.
  • At least two years of experience in managing financial and administrative functions within a law firm or similar business environment.
  • Proven ability to communicate effectively with clients and external business professionals, demonstrating superior written and verbal communication skills.
  • Exceptional attention to detail, strong organizational abilities, and a proactive approach to problem-solving.
  • Proficiency in Microsoft Outlook, Word, and Excel, with the capability to manage and modify PDF documents. Familiarity with ProLaw software is advantageous but not mandatory.
  • A stable employment history reflecting your achievements and contributions.
