Job Summary

We are seeking a highly skilled and detail-oriented Field Operations Coordinator to join our team at Wyatt Field Service. As a key member of our payroll and timekeeping department, you will be responsible for ensuring the accuracy and efficiency of our payroll processes.

Key Responsibilities
  1. Process Employee Data: Verify and process employee data, including new hires, terminations, changes, additional earnings, and deductions, from our onboarding system to the payroll system.
  2. Verify Employee Documentation: Ensure the accuracy of employee documentation, including timesheets, job assignments, and other relevant information.
  3. Process Time and Attendance Data: Process employee time and attendance data from our time system to payroll and reconcile variances using tools in mJobtime, Track, and payroll system.
  4. Update Jobsite Manpower Reports: Update jobsite manpower reports daily to ensure accurate labor costs and resource allocation.
  5. Manage Daily Foreman Reports: Create, receive, and enter daily foreman reports from foremen and superintendents at jobsites.
  6. Audit and Reconcile Payroll Documents: Audit and reconcile a wide range of payroll documents for up to 500 employees to ensure accuracy and compliance.
  7. Train and Cross-Train Team Members: Cross-train team members in your specific area of expertise as needed, including training a clerk to assist with paperwork or training a new timekeeper.
  8. Generate Payroll Reports: Create or print a variety of payroll reports on demand to support management decision-making.
  9. Prepare Labor, Equipment, and Material Timesheets: Prepare weekly labor, equipment, and material timesheets for customer approval.
  10. Assist with Job Cost Functions: Assist with job cost functions, including preparing weekly invoicing or assisting with job cost tracking, as needed.
  11. Maintain Equipment Rental and Travel Logs: Maintain equipment rental and travel logs to ensure accurate tracking and reporting.
  12. Maintain Data for Auditing Procedures: Maintain data required for proper auditing procedures, including foreman's timesheets, field change orders, customer timesheets, equipment sheets, and other relevant documents.
  13. Perform Additional Assignments: Perform additional assignments as directed by the Timekeeping Manager, Project Manager, or Project Controls Manager.
  14. Perform Accounting and Payroll Tasks: Perform accounting and payroll tasks as assigned while working at the home office.
Requirements

To be successful in this role, you will need:

  • Highly Proficient in Keyboard Computer Entry Functions: Strong proficiency in using keyboard computer entry functions is required.
  • In-Depth Understanding of Payroll Systems: In-depth understanding of the Viewpoint and Time and Attendance Payroll Database and advanced ability to use its functionality.
  • Good Proficiency in Microsoft Excel and Word: Good proficiency in using Microsoft Excel and Word is required.
  • Associates Degree or Equivalent: Associates degree or equivalent combinations of technical training and/or related experience are required.
  • Minimum 1-3 Years of Experience in Accounting or Payroll: Minimum of 1-3 years of experience in accounting or payroll is required.
  • Prior Work Experience in Construction or Business Office: Prior work experience involving payroll or accounting functions in construction or business office is strongly preferred.
  • Prior Work Experience Using Computerized Accounting System: Prior work experience using a computerized accounting system is required.
  • Ability to Solve Practical Problems: Ability to solve practical problems and deal with a variety of sometimes stressful situations is required.
License(s)/Certification(s) Required

A valid state-issued driver's license is required.
