Position Summary:

The Field Service Coordinator will be stationed at our headquarters and will report directly to the VP of Customer Success. This role is pivotal in assisting the Field Service Management team through various responsibilities outlined below.

Key Responsibilities:

  • Maintain current online reporting tools, including installed base data, customer and employee mapping, service assignments, and logistics for customer interactions.
  • Collaborate with Field Service, Service Parts, and Tools & Test Equipment teams to facilitate the coordination, deployment, and return of essential items utilized in the field.
  • Work alongside Service Management and Service Operations to enhance field service processes and reporting accuracy.
  • Assist customers and field service engineers with the ordering and logistics of parts and tools.
  • Support the fleet management needs of the field service team.
  • Generate service summary reports for customer presentations and assist Service Management with reporting requirements.
  • Contribute to the operations team by managing performance guarantee reporting and reimbursement calculations.
  • Help the Field Service team procure necessary supplies and equipment.
  • Review and process vendor invoices for payment when appropriate.
  • Monitor customer communication channels and coordinate service dispatch as needed.
  • Engage with channel partners and biomedical engineers regarding service parts and logistics.
  • Deliver parts and tools to shipping facilities or customer locations as required.
  • Perform additional duties as assigned.
  • Facilitate the onboarding process for new field service engineers.
  • Assist with travel arrangements for new hires and urgent travel needs.

Qualifications:

  • High School Diploma or equivalent required; associate degree preferred.
  • Proficient in Microsoft Office Suite.
  • Strong verbal and written communication abilities.
  • Exceptional customer service skills and responsiveness to inquiries.
  • Demonstrated ability to manage multiple projects effectively.
  • Collaborative mindset with the ability to gather information and deliver actionable insights.
  • Willingness to work overtime as necessary to meet service deadlines.
  • Experience in a field service environment is desirable.
  • Familiarity with Salesforce software is a plus.
  • Valid driver's license and reliable transportation are required.
