We are seeking a highly skilled and experienced Front Desk Supervisor to join our team at Family & Children's Services. The successful candidate will provide direct supervision to front desk specialists, ensuring consistent workflows and processes. This role requires strong leadership and communication skills, as well as the ability to work effectively in a fast-paced environment.
Key Responsibilities- Supervise and manage front desk staff in accordance with agency policies and procedures.
- Coordinate front desk operations, including telephone operations, front desk workflow, client and public engagement, EHR and client record responsibilities, and financial operations and cash management.
- Ensure phone/customer service protocols are posted and followed at all front desk stations.
- Manage clinical/doctors' schedules, review daily service flow, and coordinate with program management to maximize appointment times and ensure optimal use of EHR scheduler.
- Resolve front desk concerns, problems, and coordinate interdepartmental solutions in a timely manner.
- High school diploma or equivalent required; associate's degree in business administration or equivalent preferred.
- 3-5 years of supervisory experience, preferably with oversight of staff at multiple locations.
- Ability to work with the public, including agitated, mentally ill, and/or substance-abusing individuals.
- Ability to maintain an effective working relationship with agency employees.
- Ability to manage a multi-line telephone system and other communication technologies.
- Some knowledge of bookkeeping required.
- Must possess computer skills in Microsoft Office.
- Must possess an Oklahoma Driver License and use personal automobile for travel to locations other than primary office.
