Job Summary:

The Office Services Coordinator will be responsible for the daily processing of incoming and outgoing mail, documents, and packages. This role involves the operation and maintenance of mailing equipment, data entry, and communication with internal and external customers.

Key Responsibilities:

  • Process and sort mail, documents, and packages in a timely and efficient manner
  • Operate and maintain mailing equipment, including the Bluecrest FPS Inserter System and Pitney Bowes Connect 3000
  • Perform data entry and record information on shipping platforms
  • Update agency mailing addresses and track mail pieces using MRDF files
  • Prepare and package items for shipping, including weighing and recording information
  • Process incoming mail, including date stamping, scanning, and sorting
  • Assemble and distribute documents, including manually inserting material into envelopes
  • Maintain organization of digital files and retrieve cancelled files as needed
  • Compile and report on monthly postage usage and maintenance issues
  • Perform other duties as assigned by the Office Services Supervisor

Requirements:

  • 1+ years of previous office-related work experience
  • Working knowledge of USPS and UPS rates and regulations
  • Excellent verbal and written communication skills
  • Ability to handle multiple tasks in a changing work environment
  • Excellent PC and data entry skills
  • Ambitious and self-motivated
  • Strong prioritization and organizational skills
  • Ability to think critically and outside the box

Working Environment:

The Office Services Coordinator will work in a fast-paced office environment, interacting with internal and external customers. The role requires the ability to work independently and as part of a team, with a strong focus on attention to detail and organizational skills.
