POSITION SUMMARY: The Senior Accounts Receivable Specialist operates with minimal oversight from the Accounting Manager. This role involves utilizing online platforms and the company's electronic funds transfer system to retrieve, apply, and investigate payments from diverse customer segments. The specialist will engage with clients who have overdue accounts, initiate necessary actions, and maintain comprehensive records to ensure precise accounting for receipts and disbursements. This is a key non-supervisory role that encompasses a range of intricate clerical, bookkeeping, and accounting responsibilities, applying established procedures for the preparation and upkeep of financial records and reports.

KEY RESPONSIBILITIES: Additional tasks may be assigned as needed.

  1. Serve as the primary contact for the Accounts Receivable department.
  2. Ensure a response standard of within 24 hours for all inquiries received in the AR email inbox.
  3. Daily download and processing of customer payments through bank lockbox and credit card systems, addressing and rectifying any reported discrepancies.
  4. Submit deposits via remote capture and accurately post payments to the financial ledger.
  5. Investigate disputed or overdue account balances, correcting any inaccuracies such as misapplied payments or late fees.
  6. Resolve credit balances present in customer accounts.
  7. Prepare check requests, secure necessary approvals, and communicate effectively with customers.
  8. Review aging reports for overdue accounts and initiate collection or resolution processes.
  9. Process credit applications and establish new customer profiles in the ERP system.
  10. Handle credit card transactions as needed based on customer or industry personnel requests.
  11. Evaluate accounts recommended for reserve charge-off and assist in report generation, coordinating with external collection agencies for follow-up actions.
  12. Maintain and reconcile assigned ledger accounts, subsidiary ledgers, files, and financial reports.
  13. Process invoices and accurately apply payments to customer accounts in the database with minimal supervision.
  14. Manage monthly Short-Term Disability premium payments with employees.
  15. Oversee the processing and distribution of gift cards for Inmate Programs & Training.
  16. Facilitate monthly communication with industry managers regarding items shipped but not invoiced.
  17. Assist the supervisor and accounting team as necessary in monthly closing activities, special projects, transaction processing, audit requests, and account reconciliations.

Qualifications:

  1. Education and Experience: An Associate's Degree in Accounting/Business or equivalent experience, with a minimum of 5 years in an accounting role.
  2. Language Skills: Proficient in understanding and following complex verbal and written instructions, including technical terminology.
  3. Mathematical Skills: Capable of performing basic arithmetic operations and interpreting data, with knowledge of college-level algebra and statistics.
  4. Reasoning Ability: Skilled in solving practical problems and managing variables in non-standardized situations, with the ability to interpret various instructions.
  5. Specialized Knowledge and Skills: Strong written and verbal communication abilities. Proficient in personal computer applications (e.g., Excel, Word) and ten-key adding machines. Must achieve proficiency in relevant company information management systems within 90 days of hire or promotion.
  6. Other Skills and Abilities: Detail-oriented, proactive, and resourceful. Excellent interpersonal and communication skills across all management levels. Ability to work independently or collaboratively, with strong organizational and problem-solving skills.
