Position Overview:
This role is pivotal in managing service appointments and inspections, addressing customer inquiries, overseeing dispatch operations, reviewing billing, and handling contract documentation. Additional support may be provided to warehouse and administrative functions as necessary.

Key Responsibilities:

  • Coordinate service appointments and dispatch technicians efficiently to enhance productivity.
  • Create and manage work orders, keeping customers informed and following up with technicians.
  • Ensure work orders are completed and closed by reviewing notes and addressing any outstanding issues.
  • Prepare and verify contract and quality control documentation.
  • Schedule subcontractor assignments as required.
  • Collaborate with technicians to ensure timely and accurate completion of paperwork.
  • Maintain organized appointment schedules.
  • Order and manage materials and equipment.
  • Receive and distribute materials and equipment to technicians.
  • Compile daily operational reports.
  • Assist in coordinating logistics such as scheduling, customer notifications, and equipment procurement.
  • Conduct physical inventory checks.
  • Act as a communication bridge between Sales, Project Managers, and technicians.
  • Perform other related duties as assigned.
Qualifications:

Minimum Requirements:
  • High School Diploma or equivalent (GED).
  • At least 3 years of experience in administrative roles within a service or sales environment, with a preference for familiarity with ERP systems.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
Skills and Experience:
  • Strong decision-making abilities, with a high level of organization and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to exercise discretion and solve problems effectively, escalating issues when necessary.
  • Competence in data analysis and interpretation.
  • Quick and accurate with a focus on detail.
  • Experience in dispatching and scheduling operations.
Physical Requirements:
  • Regularly required to sit, twist, and use hands and arms for various tasks.
  • Frequently required to stand and walk.
  • Must be able to lift and/or move up to 10 pounds regularly and up to 25 pounds occasionally.
  • Specific vision abilities required include close vision, distance vision, and the ability to adjust focus.
  • Must be capable of driving a vehicle for extended periods, including at night.
  • Reasonable accommodations may be made for individuals with disabilities to perform essential functions.
Work Environment:
  • Typical office setting.
  • Noise levels are generally moderate.
