Key Responsibilities:
- Facilitate the high-level administrative functions of the Board Relations team, ensuring effective support for the Board of Trustees and associated committees.
- Manage complex scheduling and calendar arrangements, draft official correspondence, oversee data management, maintain files, and handle expense reporting.
- Collaborate with the Board Relations Manager to provide comprehensive administrative assistance to the Board Chair and their office.
- Maintain effective communication and relationships with individual board members and key stakeholders.
- Coordinate with venues and vendors, managing the contracting process for board-related events.
- Assist in drafting, editing, formatting, and proofreading various documents, including memos and presentations.
- Organize and oversee special projects that advance the Board's initiatives.
- Plan and coordinate internal team meetings and retreats, addressing scheduling and technological requirements.
- Handle the distribution of materials, gifts, and promotional items.
- Provide hands-on support for a variety of projects and tasks as needed.
- Perform additional duties as assigned.
Qualifications:
- 1 to 3 years of experience in administrative support and scheduling is required.
- A High School Diploma is mandatory.
- A Bachelor's degree in a relevant field or an equivalent combination of education and experience is preferred.
- Proactive, detail-oriented, and adept at problem-solving, with a track record of delivering high-quality results.
- Experience in supporting multiple team members while managing competing priorities.
- Proficient in PowerPoint, Excel, Word, and Outlook.
- Willingness to travel for in-person meetings and events, including occasional evenings and weekends.
- Strong interpersonal skills and a keen attention to detail.
- Experience in project coordination is essential.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality in all matters.
