Medical Office Coordinator

We are seeking a highly skilled and organized Medical Office Coordinator to join our team at coVita. This is an exciting opportunity to work in a dynamic and growing medical technology company located in Santa Barbara, California.
Job SummaryThe Medical Office Coordinator will be responsible for managing office operations, processing orders, and providing exceptional customer service to our clients. The ideal candidate will have excellent communication skills, be able to work independently, and possess a strong attention to detail.
Key Responsibilities- Manage office hub and incoming call traffic effectively
- Process orders from receipt to shipment using QuickBooks
- Invoice product repairs and manage using CRM case/ticket system
- Review incoming bills for errors and ensure timely payment
- Contact clients to ensure all past due invoices/bills are paid promptly
- Broaden client relationships through routine follow up schedules using CRM software
- Liaise with suppliers to satisfy client needs
- Assess client needs to recommend suitable product offerings
- Answer product, order, and technical inquiries from clients
- Experience with QuickBooks or similar accounting software preferred
- Familiarity with Microsoft Office Suite and Google Docs
- Experience with customer relationship managers (CRMs) a plus
- Ability to work in a team environment and independently
- Strong project management skills and attention to detail
We offer a competitive salary based on experience, ranging from $60,000 to $80,000 per year, depending on qualifications. Additional benefits include medical, dental, and vision insurance, as well as additional benefits based on time of service. We also offer a full-time schedule, Monday through Friday, 8:00am-4:30pm.
