Office Administrator

We are seeking an experienced Office Administrator to support our administrative and financial operations.
Responsibilities- Support management with administrative tasks, ensuring smooth office operations.
- Respond to business emails and phone calls, maintaining a professional correspondence.
- Maintain inventory of office supplies, kitchen supplies, and restock items as required.
- Distribute mail and deliveries, including dropping packages at designated locations.
- Coordinate office events, meetings, and activities.
- Perform general housekeeping tasks to maintain a clean and professional office environment.
- Assist with accounts payable and receivable, processing invoices and payments.
- Scan and upload invoices and documents as necessary.
- Reconcile monthly credit card statements and enter transactions.
- Manage business vendors, setting up new vendors as needed.
- Prepare and organize weekly payment runs for review.
To be successful in this role, you will need:
- A high school diploma or equivalent; associate or bachelor's degree preferred but not required.
- Three (3) years+ previous experience as an Administrative Assistant, Accounting Assistant/Clerk or Office Admin Assistant.
- Proficiency in MS Office (Word, Excel, Outlook).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Strong organizational skills with the ability to multi-task.
- Ability to work independently on assigned tasks as well as accept directions or given assignments.
- Good communication skills, ability to work as part of a team, and follow instructions accurately.
- Knowledge of basic bookkeeping procedures is a plus.
- Experience with Deltek Ajera is preferred.
- Experience in a consulting or engineering firm is preferred.
