Practice Support Supervisor

Redgrave LLP is seeking a highly skilled Practice Support Supervisor to oversee the day-to-day workflow of the Practice Support Team. The successful candidate will be responsible for supervising the team, making staffing decisions, and managing their workload and performance.
Key Responsibilities:
- Supervise the Practice Support Team, including assigning work, reviewing work, and monitoring processes and procedures to ensure efficiency and quality of work.
- Coordinate the preparation of materials requested by Timekeepers and Firm Administration, and track progress to ensure all assignments are completed accurately and timely.
- Oversee Paralegals, Legal Assistants, and Senior Legal Assistants in thorough and meticulous cite checking of all legal and thought leadership documents.
- Supervise identified members of the Practice Support Team in handling the procurement and inventory of office and kitchen supplies, management of the office reservation platform and processes, and serving as points of contact for office activities and events.
- Direct and monitor identified members of the Practice Support Team in facilitating the key access control for all Firm locations, including keycard registration, issuance, and reclamation.
- Oversee identified members of the Practice Support Team's reliable and timely distribution of inbound and outbound shipments, mail communications, and related tasks across all Firm locations.
- Supervise identified members of the Practice Support Team in the planning and execution of local office events. Lead them in coordinating local logistics and liaising with external vendors.
- Supervise identified members of the Practice Support Team in managing licenses for legal research platforms, including Westlaw, Lex Machina, and PacerPro. Oversee efforts in coordinating platform login access and training.
- Supervise reception responsibilities managed by identified members of the Practice Support Team, ensuring that all incoming calls are answered and handled appropriately, and that a high level of professionalism and efficiency is maintained in communication.
- Work with Human Resources and the Chief Strategy Officer to recruit, interview, and hire applicants for Paralegal, Senior Legal Assistant, and Legal Assistants positions and make recommendations for hiring, promotion, disciplinary action, and termination.
- Identify and implement training programs for the Practice Support Team.
- Evaluate employee performance and resolve issues as needed; ensure appropriate documentation is provided to Human Resources for all performance-related matters.
- Assist in analyzing and reporting on the Practice Support Team's time to assess workload, productivity, and ability to meet ongoing Firm needs.
- Mentor and support the Practice Support Team.
- Track billable and non-billable time, expenses, and other administrative tasks.
- Coordinate appropriate in-office support coverage for Chicago, Chantilly, and other office locations.
Requirements:
- Bachelor's Degree required, higher preferred or related work experience.
- Paralegal Certificate preferred.
- Litigation experience required.
- 7-10 years of experience in the legal field in a litigation-related role.
- Solid understanding of people management and litigation processes and procedures.
- Office administration and law firm operations experience a plus.
