Position Title: Administrative Executive Coordinator and Scheduler
Work Schedule: Onsite availability required for specific days; remote work permitted for a limited number of days.
Educational Background:
- High school diploma, GED, or equivalent is mandatory.
- University or college degree is preferred.
Primary Objectives:
- Conduct a thorough evaluation of the existing Records Management (RM) program.
- Identify deficiencies and opportunities for enhancement in accordance with NARA regulations and guidelines.
- Formulate and execute strategies to improve the RM program.
- Ensure the sustainability and continuous advancement of the agency's RM program.
Key Duties:
- Manage email correspondence.
- Schedule and confirm appointments.
- Coordinate both domestic and international travel arrangements.
- Organize appointments by reviewing and directing correspondence and managing tasks.
- Oversee calendars for department personnel and arrange meetings, conferences, and teleconferences.
- Address requests by responding to or redirecting inquiries.
- Safeguard customer confidentiality and protect operations by maintaining information security.
- Provide historical reference by utilizing filing and retrieval systems, primarily in SharePoint.
- Contribute to team objectives by achieving related results as necessary.
- Prepare printed materials in support of significant meetings.
Qualifications:
- Must possess or be eligible to obtain a Public Trust Clearance.
- A minimum of 5 years of prior experience in office administration and scheduling.
- High school diploma, GED, or equivalent is required.
- Familiarity with Concur (government travel system) is essential.
- Proficient user of Microsoft OneDrive and SharePoint.
- Expertise in scheduling and utilizing the Scheduling Assistant in MS Outlook and Teams.
- Exemplary professionalism.
- Strong reporting skills.
Preferred Certification:
- Microsoft Office Specialist (MOS) Certification is desirable.
