Position Overview

CFCU Community Credit Union is in search of a motivated and detail-oriented Executive Administrative Coordinator to provide comprehensive administrative assistance to the Vice Presidents of Member Experience and Information Technology. The ideal candidate will exhibit a proactive approach, exceptional organizational skills, and a strong desire to learn and tackle challenges. Effective communication across all organizational levels is essential, along with the ability to manage a diverse array of tasks independently.

Key Responsibilities – Member Experience:

  • Generate monthly reports, visual data representations, and dashboards for management, while organizing meetings as requested by the VPs.
  • Assist in the collection, retrieval, and dissemination of various reports from core and ancillary systems.
  • Compile and distribute monthly sales reports to branch managers.
  • Prepare and circulate meeting agendas.
  • Attend and document minutes for various monthly meetings, including those for Retail Managers and Teller Supervisors.
  • Maintain and update relevant pages on the internal platform for Retail Operations, Member Experience, and Member Solutions.
  • Gather and organize documents for audits and regulatory reviews, drafting responses to findings as necessary.
  • Draft and edit correspondence and memos, ensuring accuracy and clarity in all communications.
  • Coordinate special projects for the VPs and other departments, tracking project statuses and deadlines.
  • Follow up with branch staff as required.
  • Perform additional projects and duties as assigned.

Key Responsibilities – Information Technology:

  • Oversee the management of incoming emails for the VP of IT, ensuring organization and categorization.
  • Handle incoming invoices, ensuring timely signatures and submissions, including routing for digital approval.
  • Organize and manage physical inventory at the designated location, ensuring all items are logged and accounted for.
  • Collaborate with the VP of IT and IT Manager to prioritize and categorize incoming service requests.
  • Coordinate and schedule various meetings, including sending agendas, taking minutes, and providing summaries to attendees.
  • Update the IT project list on a monthly basis for project management purposes.

Qualifications:

  • 2-5 years of experience in administrative roles or related fields.
  • Excellent written and verbal communication skills, with the ability to convey information clearly and professionally.
  • Proficient in relevant software applications used in retail financial services.
  • Strong command of Microsoft Office Suite, particularly Word, Excel, and Outlook.
  • Able to work effectively both independently and in collaborative environments, with a capacity to manage ambiguity.
  • Self-driven with a commitment to continuous learning.
  • Strategic thinking abilities.
  • Strong problem-solving and analytical skills.
