As we expand, we are looking for an Office Administration Supervisor to join our dedicated team.

The Office Administration Supervisor is tasked with assisting the Executive Director and Management Company in overseeing the community's financial operations and human resources, collaborating closely with management teams.

This role also involves supporting staff to foster a positive work environment.

The supervisor may oversee other administrative staff and manage functions such as reception.

This managerial position may require travel as necessary (to the home office, training sessions, etc.). In compliance with HIPAA regulations, every healthcare organization must appoint a Privacy Officer.

The Privacy Officer is responsible for managing all activities related to the creation, implementation, and upkeep of the organization’s privacy policies in line with federal and state laws.

Key Responsibilities:

• Supervise the department, including front desk personnel.
• Oversee daily operations related to finance, human resources, and billing.
• Recruit, interview, onboard, and train new staff members.
• Collaborate with the home office to ensure accurate and timely processing of accounts payable and receivable.
• Act as the Community Privacy Officer.
• Process payroll for the community.
• Manage employee benefits, including the enrollment process.

Qualifications:

• High School diploma or equivalent; associate's degree preferred.
• Completion of bookkeeping/accounting courses is advantageous.
• 3 to 5 years of progressive experience in managing large office environments (100+ employees) is essential.
• Proficiency in Microsoft Office (Word, PowerPoint, Excel, and Outlook) and familiarity with online research tools.
• Strong organizational, verbal, and written communication skills.
• Familiarity with Ultimate software payroll system is preferred.
• Understanding of basic General Ledger and Accounts Payable systems.
• Knowledge of office equipment and troubleshooting skills.
