Role Overview

Accountable for the provision of administrative support services that enhance the efficiency of branch sales, management, and warehouse teams, ensuring exceptional service delivery to both internal and external stakeholders.

Key Responsibilities

The individual must be capable of executing essential functions with or without reasonable accommodation.

  • Welcome clients and manage incoming calls, directing inquiries to the relevant personnel;
  • Foster a safe working environment by actively participating in safety initiatives and considering safety in all daily activities;
  • Receive and distribute incoming mail appropriately, and prepare outgoing correspondence;
  • Manage and log special items for corporate departments, branch staff, vendors, and clients as required, including sales proposals, informational brochures, departmental newsletters, and periodic operational reports;
  • Maintain schedules and itineraries for branch staff, coordinating meetings, conference calls, and travel arrangements;
  • Ensure adequate inventory of office supplies and that office equipment is functioning properly;
  • Digitize documents and maintain branch records in accordance with company retention policies;
  • Generate and distribute daily, weekly, and monthly reports;
  • Conduct accurate data entry using MRC Global's proprietary software related to customer order processing, procurement, receiving, inventory management, accounts receivable, accounts payable, and various office functions;
  • Verify purchase accuracy with vendors, including shipping, billing, and customer service;
  • Perform regular audits to ensure adherence to business process standards;
  • Adapt to new business processes and office protocols as necessary, serving as a resource for colleagues;
  • Build rapport and provide timely responses to internal and external customer inquiries through effective written and verbal communication;
  • Safeguard confidential information related to supervisory duties, personnel matters, and customer interactions;
  • Exercise reasonable care for personal and others' safety and report any workplace hazards, injuries, or illnesses immediately.
Qualifications

Any combination of education and experience that equips the individual with the necessary knowledge and skills to perform the essential duties will be considered.
  • High School diploma or GED (General Education Degree) or an equivalent combination of education and work experience;
  • Proficiency in Microsoft Office Suite, including Excel and Outlook; ability to learn MRC Global's business processes;
  • Ability to communicate effectively and work collaboratively with diverse groups and individuals;
  • Consistent demonstration of professional behavior, empathy, and demeanor;
  • Familiarity with MRC Global products to effectively serve the branch's customer base;
  • Ability to work independently, exercising sound judgment, flexibility, initiative, and discretion;
  • Capability to focus on project details while maintaining an understanding of the overall objectives;
  • Skill in analyzing situations, solving problems, evaluating responses, and providing assistance;
  • Ability to present oral and written feedback and recommendations clearly and concisely;
  • Aptitude for learning new technologies;
  • Maintain a positive company image while building strong business relationships internally and externally.
Additional Qualifications
  • Must be able to provide documentation verifying legal work status;
  • Proficiency in reading and speaking English to communicate effectively, understand safety instructions, and respond to inquiries;
  • Ability to comprehend and adhere to MRC Global guidelines and expectations, including the Code of Conduct and Conflict of Interest policies.
