Position Summary:

The Concert & Artist (C&A) Administrative Coordinator for the Western Region is an integral part of the Steinway team based in Los Angeles. Reporting directly to the C&A Senior Manager, this role is crucial for the smooth functioning of C&A operations across various markets including major cities in the western United States.

Key Responsibilities:

  • Manage and verify event logistics in collaboration with production teams, ensuring all bookings are confirmed with movers and tuners for both new and ongoing C&A orders, under the guidance of the Senior Manager.
  • Handle customer payments for C&A services, including the processing of checks, credit card transactions, and wire transfers, as well as entering approved rental sales invoices into the company’s ERP system.
  • Conduct follow-ups on overdue customer accounts to maintain an accurate accounts receivable report.
  • Organize and submit vendor invoices for approval to the accounting department, while maintaining communication with vendors regarding payment statuses.
  • Keep comprehensive maintenance records for the extensive inventory of pianos in the western region, documenting work performed and technician recommendations for necessary upkeep, as well as preparing requisitions for replacement supplies and parts.
  • Curate and maintain a current photo gallery of all C&A pianos from the western markets, focusing on those showcased in prominent venues, live broadcasts, films, or music videos, for dissemination across Steinway’s social media platforms.
  • Be available on a rotating schedule to address urgent piano-related issues when key team members are unavailable.
  • Support the overall operations of Steinway on the West Coast, which may involve assisting with special retail and institutional events on a limited basis.
  • Stay informed about performances by Steinway Artists and significant non-Steinway artists in each market, maintaining an up-to-date calendar for sharing with retail managers and sales representatives.
  • Possess the flexibility to work in both office and remote settings, with a requirement to reside within a reasonable commuting distance to the Steinway Concert & Artist Office.

Qualifications:

  • A Bachelor’s degree is required.
  • Previous experience in a professional business environment is essential.
  • The ideal candidate will demonstrate strong organizational skills and attention to detail.
  • Excellent written and verbal communication abilities are crucial.
  • This role demands a high level of focus and a strong commitment to meeting daily deadlines.
  • A background in music is advantageous, though not mandatory.
