Position Overview

The Office for Research in the Vagelos College of Physicians and Surgeons is in search of a Grants Coordinator to become a vital member of the Pre-Award Team. Under the guidance of the Director, the Grants Coordinator will facilitate all grant-related pre-award administrative tasks for the Basic Science Departments and other involved departments at VP&S. The primary responsibility of this role is to assist faculty in the submission and pre-award management of grants and contracts, including annual progress reports and subawards.

Key Responsibilities

  • Assist Principal Investigators (PIs) in the formulation, evaluation, and submission of all Federal, State, and foundation grant and contract applications. Oversee timelines and the overall submission process to ensure timely completion of high-quality, compliant proposals.
  • Train under the supervision of the Director and senior staff to develop and maintain a comprehensive understanding of federal regulations governing research grants; stay updated on sponsor terms and conditions for grant submissions and administration.
  • Support the preparation of grant budgets and justifications in accordance with the provided aims and RFA requirements, ensuring compliance with sponsor/donor and University policies, while collaborating with external partners and establishing subcontracts.
  • Maintain accurate and current records of PIs' other support, biosketches, and grant submission documents.
  • Respond to RFAs and summary statements, addressing any issues prior to submission.
  • Ensure progress reports are prepared and submitted as mandated by the sponsoring program.
  • Monitor the status of pending applications and follow up with investigators regarding review and funding status.
  • Ensure that files are complete for awarded applications, following up with investigators and/or administrators regarding any missing information.
  • Maintain standards such as budget templates, standardized checklists for core staff and PIs tailored to the sponsor/mechanism, and an organized filing system using shared drives, along with updated resources and facilities.
  • Foster and maintain positive relationships with funding agencies, collaborating organizations, and various internal offices. Train under the guidance of Senior Staff to gain in-depth knowledge and expertise in grants administration.
  • Collaborate effectively with faculty, grant writers, VP&S proposal development, SPA, and the post-award team, encompassing all aspects of grant administration.

Minimum Qualifications

  • Bachelor's degree or equivalent in education and experience, plus 2 years of relevant experience required.

Preferred Qualifications

  • A bachelor's degree in biological science or a business/administration field such as finance, accounting, public health, or public administration.
  • Prior experience in an academic grant-funded environment.

Other Requirements

  • Proficient in Microsoft Office, particularly Excel.
  • Demonstrated customer service orientation with the ability to engage and collaborate with diverse constituencies, along with the capacity to work independently and successfully in a deadline-driven, multitasking environment.
  • Excellent analytical, organizational, interpersonal, oral, and written communication skills.
  • Ability to manage multiple projects effectively. Self-motivated and demonstrates initiative, patience, and resourcefulness in adapting to sudden changes.
