Overview: The Patient Services Coordinator I plays a vital role within the front office team of our outpatient mental health practice.

Main Responsibilities:

The Patient Services Coordinator I will collaborate with the clinic team to guarantee that clients receive exceptional service.

  • Initiate opening procedures, including unlocking the front entrance, activating audiovisual equipment, ensuring a pleasant atmosphere, and maintaining cleanliness in common areas.
  • Manage patient check-in and check-out processes, including financial transactions, establishing payment plans, and handling cash deposits.
  • For new clients, facilitate the signing of consent forms, confirm completion of necessary measures, scan insurance and identification documents into the system, and capture client photographs.
  • Answer incoming calls and monitor voicemails in the designated inbox.
  • Contact clients who are late or have missed appointments after a brief waiting period.
  • Verify and update client demographic information, including contact details, insurance data, appointment reminders, and guardian information.
  • Document messages and relay patient inquiries to the appropriate team member, ensuring accurate record-keeping with timestamps.
  • Assist in scheduling new patient appointments and follow-up visits.
  • Support senior staff with the faxing of release of information requests and disability paperwork.
  • Upload medical documentation to client records.
  • Conduct regular checks of restrooms to ensure cleanliness and adequate supplies.
  • Maintain cleanliness of surfaces in waiting areas and common spaces, including glass doors.
  • Execute closing procedures, ensuring the office is tidy, disposing of waste, and securing all entrances before departure.

Provide courteous and professional service to all clients, whether in person or over the phone.


Requirements:

To excel in this role, candidates must meet the following qualifications:

  • A minimum of 1 year of relevant experience is preferred.
  • Experience in an outpatient healthcare setting is advantageous.
  • Graduation from an accredited institution with a degree or certification in a relevant field is preferred.
  • A high school diploma or equivalent is required.
  • Exceptional written and verbal communication skills are essential.
  • Fluency in English, including reading and writing, is required.
  • Proficiency in using Windows-based computers and Microsoft Office applications is necessary.
  • Adherence to HIPAA and HITECH regulations is mandatory at all times.

Salary: $16-$18 per hour
