Position Overview:

We are seeking a Sales and Marketing Administrative Leader who possesses exceptional organizational abilities and a knack for multitasking. This role is pivotal in supporting the sales and marketing operations of our organization.

Key Responsibilities:

  • Provide comprehensive administrative assistance to the Executive Director of Sales, Assistant Director of Sales, and Sales Managers.
  • Facilitate effective communication with internal and external stakeholders at all levels.
  • Ensure the timely flow of work to meet all deadlines.
  • Manage calendars, schedule appointments, and prepare necessary agendas.
  • Organize and coordinate internal meetings, including the preparation and distribution of materials.
  • Assist in the creation of reports, presentations, and correspondence.
  • Prepare sales packets and tour information.
  • Handle phone coverage as required, including lead distribution to the appropriate sales manager.
  • Oversee ordering of supplies and manage mail handling.
  • Maintain accuracy and timeliness of customer statements by processing accounts, allowances, refunds, and payments.
  • Generate aging and other reports for internal use.
  • Provide filing support for the accounting and sales departments.
  • Prepare and manage all trade show requirements.
  • Distribute reports as necessary and manage distribution lists.
  • Process direct bill applications and credit card authorizations.

Qualifications:

  • A minimum of 2 years of experience in administrative support or a similar role.
  • Prior supervisory experience is preferred.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Strong ability to organize, prioritize, and manage multiple time-sensitive tasks.
  • Ability to work independently with minimal supervision.
  • Flexibility in working hours may be required based on business needs.
