Position Overview:
We are seeking a Sales and Marketing Administrative Leader who possesses exceptional organizational abilities and a knack for multitasking. This role is pivotal in supporting the sales and marketing operations of our organization.
Key Responsibilities:
- Provide comprehensive administrative assistance to the Executive Director of Sales, Assistant Director of Sales, and Sales Managers.
- Facilitate effective communication with internal and external stakeholders at all levels.
- Ensure the timely flow of work to meet all deadlines.
- Manage calendars, schedule appointments, and prepare necessary agendas.
- Organize and coordinate internal meetings, including the preparation and distribution of materials.
- Assist in the creation of reports, presentations, and correspondence.
- Prepare sales packets and tour information.
- Handle phone coverage as required, including lead distribution to the appropriate sales manager.
- Oversee ordering of supplies and manage mail handling.
- Maintain accuracy and timeliness of customer statements by processing accounts, allowances, refunds, and payments.
- Generate aging and other reports for internal use.
- Provide filing support for the accounting and sales departments.
- Prepare and manage all trade show requirements.
- Distribute reports as necessary and manage distribution lists.
- Process direct bill applications and credit card authorizations.
Qualifications:
- A minimum of 2 years of experience in administrative support or a similar role.
- Prior supervisory experience is preferred.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Word, Excel, and PowerPoint.
- Strong ability to organize, prioritize, and manage multiple time-sensitive tasks.
- Ability to work independently with minimal supervision.
- Flexibility in working hours may be required based on business needs.
