Job Overview

The Per Diem Patient Encounter Associate is responsible for executing all essential functions related to patient intake, appointment scheduling, and financial pre-authorization, with a focus on ensuring exceptional patient experiences and optimizing revenue for the institution. This role involves collecting and confirming patient demographic and insurance details, identifying the appropriate insurance/payment sources, and addressing necessary authorization or referral protocols while resolving any insurance-related inquiries.

Key Responsibilities
  • Welcomes patients both in-person and via phone, updating their insurance and demographic data in the practice management system.
  • Collects registration and financial information for patient pre-registration, entering accurate data into the practice management system.
  • Handles incoming calls for the practice; schedules, reschedules, and cancels patient appointments according to established guidelines.
  • Contacts patients to confirm their scheduled or canceled appointments.
  • Facilitates patient check-in upon arrival, ensuring comprehensive registration, including demographic verification, financial screening, and insurance prioritization with third-party providers.
  • Collects co-payments as directed by billing management and issues receipts following cash-control protocols.
  • May assist with basic charge entry tasks or process payments received from patients, preparing cashier deposits as necessary.
  • Coordinates prior authorizations and appointment scheduling for diagnostic tests requested by healthcare providers using EPIC.
  • Regularly monitors the waiting room status and informs patients of expected wait times.
  • Ensures that prior approvals and necessary procedures are completed before care delivery by collaborating with other hospital departments.
  • Reconciles the daily patient schedule with completed encounters.
  • Reviews billing edit reports and addresses encounters requiring corrections.
  • Scans documents into EPIC on a daily basis.
  • Contributes to system development and process enhancements by providing feedback to management regarding registration issues impacting operations.
  • Adheres to all HIPAA regulations and other federal/state requirements regarding the handling of PHI documents.
  • Performs additional duties as assigned.
Qualifications
  • High School Diploma or GED; Associate's degree preferred.
  • Minimum of one year of experience in a physician practice; on-site training will be provided. Preferred experience includes working in a medical office environment and utilizing a computer system for scheduling.
Compensation Information

The Mount Sinai Health System (MSHS) offers a salary range in compliance with New York City Law on Salary Transparency in Job Advertisements. The hourly wage for this position is $25.83. Actual salaries may vary based on factors such as experience, education, and institutional needs. The stated salary range does not encompass bonuses, incentive pay, or other forms of compensation or benefits.
