Administrative Coordinator Role at Day Wireless SystemsOverview: The Administrative Coordinator plays a vital role in supporting the Service Center or Department by handling various administrative functions such as billing, collections, customer service, purchasing, report generation, inventory management, payroll, and shipping and receiving. The specific duties may differ based on the department or Service location.

Primary Responsibilities:
  • Effectively organize tasks, multitask, and operate efficiently under pressure while maintaining a positive and professional demeanor.
  • Engage with customers both in person and via phone, manage incoming calls, and deliver exceptional service.
  • Assist with administrative duties including document preparation, data entry, and report creation.
  • Ensure precise and timely data entry for payroll hours, product orders, warranty claims, invoices, and more.
  • Oversee petty cash management, balance billable hours against payroll hours, and act as a dispatcher for service requests.
  • Generate, analyze, and address issues arising from various reports related to sales, expenses, inventory, etc.
  • Order office supplies, manage inventory items, and undertake additional tasks as required.
  • Execute supplementary tasks such as drafting marketing materials, taking meeting notes, and engaging in special projects.
  • Manage property security responsibilities including locking gates/doors, setting alarms, etc.
  • Perform other assigned duties as necessary.
Qualifications:
  • High School diploma or equivalent, with relevant experience in areas such as dispatching, office management, or billing preferred.
  • Familiarity with NetSuite & Paycom software is a plus.
