Position Overview
The Trust Administrative Assistant position is a key role in our Trust department, responsible for providing administrative support to our Trust Officers. This includes assisting clients with inquiries and service requests, managing account records, and preparing documents and reports as needed.
Key Responsibilities
- Client Support
- Collect information for client meetings and prepare meeting materials.
- Respond to client inquiries and service requests in a timely and professional manner.
- Account Administration
- Manage the new account opening process, including processing paperwork and opening accounts on our system.
- Process daily deposits and disbursements, and identify and resolve any discrepancies.
- Reporting and Compliance
- Coordinate tax preparation and compliance, including sending documentation to tax preparers and following up on missing information.
- Prepare and send completed tax documents to clients.
- Team Collaboration
- Work collaboratively with our Trust Officers and other team members to ensure seamless client service.
Requirements
- High school diploma (or equivalent) and two or more years of experience in a Trust office environment; or equivalent combination of education and experience.
Competencies
- Excellent communication and interpersonal skills.
- Strong administrative and organizational skills.
- Computer proficiency, including Microsoft Office Suite and Adobe Acrobat.
- Basic to moderate knowledge of trust administration, IRA concepts, accounting procedures, and tax laws.
