Job Overview

Position Title: Human Resources Administration Accountant

Reports To: Manager of Benefits Administration & Compliance

Department: Corporate Services/Human Resources

Objective: To deliver comprehensive support to the Human Resources division, encompassing all facets of HR administration, benefits management, financial analysis, and efficient payroll processing while ensuring exceptional service and communication with all personnel.

Essential Qualifications:

  • Bachelor’s degree in business administration, accounting, or a related discipline.
  • At least 7 years of relevant accounting experience.
  • Familiarity with current payroll tax regulations and HR legislation.

Desirable Qualifications:

  • Experience in human resources and benefits management.
  • PHR or SHRM HR certification.
  • Proficiency in HR information systems related to budgeting, general accounting, and payroll taxes.
  • Knowledge of HR benefit systems and Microsoft Office applications including Access, Excel, Word, and Outlook.
  • Background in compensation analysis, benefits management, and compliance.
  • Experience in HR and benefits administration, including personnel file management and data analysis.

Key Responsibilities:

  • Foster positive relationships with all employees to uphold company policies while enhancing employee engagement and satisfaction. Recommend improvements to policies and procedures that strengthen workplace culture.
  • Ensure timely payroll processing, including benefit reconciliations, annual W2 reconciliations, monthly wage balancing, budget reconciliations, and maintenance of software setups for payroll liabilities, deductions, and employee earnings.
  • Responsible for processing and reporting monthly, quarterly, and annual payroll taxes.
  • Benefits Accounting: Ensure accurate setup of benefit codes in alignment with employee elections. Manage monthly account reconciliations to guarantee complete and precise benefit accounting.
  • Develop, refine, document, and standardize sustainable HR processes while sharing best practices.
  • Collaborate with management and employees regarding benefits, policies, and procedures.
  • Analyze data and compile information for monthly organizational reporting.
  • Liaise with HR vendors and establish new partnerships as necessary.
  • Work closely with the company’s benefits brokerage team and financial partners to support and manage the company’s benefit programs.
  • Participate in the annual open enrollment process.
  • Provide assistance with the evaluation and administration of 401(k) benefits, long-term disability, life insurance, and optional insurance plans.
  • Ensure timely and accurate issuance of all required notices and documents.
  • Review benefit billing and accounts for accuracy and prepare documentation for accounts payable processing.

Additional Responsibilities:

  • Support and execute all year-end processes.
  • Communicate effectively with team members regarding assigned projects and reports.
  • Prepare reconciling entries for journal adjustments to the general ledger.
  • Assist in the preparation of the annual budget.
  • Conduct budget-to-actual variance research, analysis, and reporting.
  • Maintain confidentiality of all documentation and information.
  • Support high-level payroll tasks, including annual audits such as 401(k) testing and compliance audits.
  • Provide information requested for the annual fiscal audit.
  • Manage offboarding processes and maintenance in payroll, benefits, and HRIS systems.
  • Serve as a backup resource for other areas within the HR department.
