The Administrative Support Specialist is responsible for performing essential clerical, administrative, and secretarial functions within the designated department.

Key Responsibilities

1. Responds to phone inquiries and welcomes visitors; provides necessary information or directs inquiries to the relevant personnel; manages incoming calls and documents messages; addresses emails and faxes as required.

2. Employs computerized data entry systems and various document processing and file management software to input, store, and retrieve information; maintains essential files and records; scans and duplicates documents as needed; ensures the accuracy and completeness of files.

3. Manages incoming and outgoing correspondence, including preparing copies and organizing materials; distributes mail to the appropriate department or personnel.

4. Conducts daily cash drawer reconciliations and prepares associated reports on a regular basis.

5. Regular and punctual attendance is mandatory.

6. Evaluates applications for services, verifying the accuracy or correctness of submissions to issue certified copies of vital records such as birth and death certificates, as well as marriage licenses; assesses applicants for eligibility to obtain these documents.

7. Records legal documents; reviews and assesses submitted documents for precision and compliance with all legal standards.

8. Collects applicable court fees and costs.

9. Scans all recorded documents, including vital records; conducts verification processes and examines captured images for accuracy, completeness, and quality; manually indexes records post-scanning.

10. Initiates and assigns criminal cases to various courts and ensures their delivery for further processing.

11. Provides passport services for U.S. citizens.

12. Performs additional related duties as necessary.

Minimum Qualifications

High School Diploma or GED and at least one year of experience in a relevant field; or an equivalent combination of education and experience is required.

Completion of some college coursework is preferred.

Specific certifications related to the area of assignment may be necessary for this role.

Supplemental Information

The primary location for this position is Denton, Texas, and this role may require occasional travel to other satellite locations.
