POSITION TITLE: Patient Services Specialist

NATURE OF POSITION: The Patient Services Specialist plays a crucial role in facilitating efficient and accurate patient check-in and check-out processes. This role requires a solid understanding of the protocols for managing patient arrivals and departures, verifying insurance details, gathering demographic information, and scheduling both initial and follow-up appointments. As a vital member of the healthcare team, the specialist must be well-versed in clinic operations while ensuring patient confidentiality in accordance with COFMC policies.

MINIMUM QUALIFICATIONS:

  • High School diploma or equivalent; required
  • Minimum age of 18 years
  • Experience in a Medical/Dental Office; preferred
  • Proven Customer Service skills; required
  • Ability to collaborate effectively with a diverse healthcare team and the public
  • Basic computer proficiency; required
  • Strong phone etiquette
  • Physical capability to sit, stand, walk, bend, and/or lift for extended periods

SUPERVISION RECEIVED: Patient Services Supervisor

RESPONSIBILITIES:

  • Facilitate patient check-in/out for appointments, collecting co-pays and outstanding balances as necessary
  • Input sliding fee scale information, if applicable
  • Manage appointment scheduling, including looking up, rescheduling, or canceling appointments
  • Record daily payments received during the operational hours
  • Process credit card transactions
  • Answer incoming calls and direct them appropriately
  • Maintain provider schedules by ensuring accurate appointment bookings
  • Participate in training sessions sponsored by the agency (safety, OSHA, etc.)
  • Uphold patient confidentiality and adhere to HIPAA regulations at all times
  • Provide guidance to team members regarding clinic policies and procedures
  • Keep the workspace organized and professional
  • Exhibit a positive attitude and commitment to the organization's mission
  • Demonstrate caring qualities consistent with the values of a community health center
  • Recognize cultural factors and work to eliminate barriers to healthcare access
  • Address patient concerns as per the established complaint resolution process
  • Complete and submit departmental reports in a timely manner as requested
  • Assist in training new Patient Services Specialists within designated locations
  • Oversee scheduling for Patient Services Specialists, including approving time-off requests
