Position Function

Support the planning and execution of events at various locations.

Key Responsibilities
  • Assist in the organization and oversight of City-sponsored events and activities.
  • Manage event rentals by providing necessary documentation and guiding promoters through the event process.
  • Facilitate the development and execution of agreements for park usage and special events, ensuring compliance with City requirements.
  • Coordinate with event organizers and City personnel to discuss logistics, staffing, timelines, and production needs.
  • Oversee event setup, breakdown, and operational logistics, collaborating with Park Rangers to ensure safety and maintenance.
  • Manage day-of event details, ensuring all promoter expectations are met.
  • Request and manage equipment and supplies, maintaining inventory control.
  • Conduct quality checks on all event equipment, including audio-visual systems and staging.
  • Handle inquiries from event vendors and assist with promotional material printing.
  • Support the creation of event maps, timelines, and post-event reports.
  • Assist in the coordination of vendor locations and oversee technical aspects of events.
  • Drive to various work sites as needed and perform additional duties as assigned.
  • Provide exceptional customer service to event producers, managing multiple tasks in a fast-paced environment.
  • Build and maintain relationships with personnel in other City departments and local stakeholders.
  • Work a flexible schedule, including weekends and holidays, as required.
  • Participate in emergency response duties as necessary.
  • Complete required training as outlined in the City’s Emergency Management Plan.
Qualifications

Minimum Qualifications:
  • Bachelor's degree in Hospitality Management, Event Planning, Tourism, Leisure Services, or a related field.
  • Two years of experience in community programming or special events, or an equivalent combination of education and experience.
  • Valid driver’s license, with the ability to obtain a Florida license within thirty days of employment.
Preferred Qualifications:
  • Proficiency in software programs such as Adobe, Excel, Civic Plus, and Munis.
  • Experience with audio/visual equipment, including PA systems and lighting.
  • Two years of experience supervising events, staff, vendors, and entertainment.
  • American Red Cross CPR/AED and First Aid certification, to be obtained within six months of employment.
  • Completion of Crowd Management Training within three months of employment.
