The firm's diverse portfolio encompasses Custom Residential, Multi-Family Housing, Commercial, Museums, Cultural spaces, and Hospitality projects.

Position Overview

The Operations Coordinator is essential in facilitating smooth operations by overseeing workflows and reporting for project staffing and the architectural operations team. This role will work closely with internal teams to achieve outstanding results within designated timelines.

Key Responsibilities:

Data Analysis and Reporting:
Generate and routinely prepare a variety of project staffing and operational reports.

Analyze staffing trends to enhance resource allocation efficiency.

Requires advanced proficiency in Excel for data manipulation and reporting.


Utilize visual elements such as charts, graphs, and maps to effectively communicate insights and patterns derived from data.


Project Onboarding and Transition:
Successfully onboard new projects into the firm.

Collaborate with Marketing and Contracts teams to collect necessary data for project staffing.

Facilitate the transition of projects to designated project managers.

Meeting Coordination:
Organize and prepare materials for meetings.

Attend meetings to document action items.

Ensure follow-up on action items by meeting participants.

Resource Planning and Project Staffing:
Assist in overall resource planning and project staffing processes.

Guarantee timely and effective staffing of projects.

Qualifications:

Education/Skills/Experience:
Bachelor's degree in Business Administration, Operations Management, or a related field.

A minimum of 3 years of experience in an administrative capacity.

Intermediate experience in data analysis, reporting, or business intelligence and data visualization.

Proficient in the Microsoft Suite, with advanced skills in Excel.

Experience with ERP software such as Deltek Vision is preferred.

Familiarity with MS Power BI or other data visualization tools.


Exceptional organizational skills, with the ability to manage and delegate multiple detailed tasks, assignments, and shifting priorities efficiently and accurately.

Proactive and collaborative in nature, highly motivated and eager to deliver excellent work, demonstrating strong analytical and problem-solving abilities.

Effective verbal and written communication skills are essential.

Compensation:


At the time of posting this position, the salary range for this role in Seattle is between $70,000 and $75,000 annually.

Final salary determinations are based on the candidate's education and experience, considering internal equity and external market factors.
