Job Summary

The Electronic Banking Administration Specialist plays a vital role in the success of our Electronic Banking Department. This position requires a highly organized and detail-oriented individual who can provide daily operational and administrative support to the management team.

Key Responsibilities
  • Conduct research and prepare detailed statistical and management reports to support business decisions.
  • Handle information requests, invoice management, audit and exam requests, and perform clerical functions such as preparing correspondence and receiving visitors.
  • Manage and maintain department manager's schedules, communicate and coordinate with executive management, regional bank presidents, legal counsel, bank examiners, vendors, internal and external customers.
  • Prepare and process management product reports, annual budget, monthly billings, general ledger, accounts payable, manager reimbursement, expense reports, board presentations, and assignments.
  • Update and maintain Electronic Banking PowerBi dashboards, manage and data gathering and extraction/creation of data with and from vendors and/or internal departments.
  • Assist department managers with internal audit/exam requests, compliance, meetings, travel, vendor visits, and presentations.
  • Prepare agendas and make arrangements for committee, board, and other meetings.
  • Conduct research, compile data, and prepare reports for presentation by executives, committees, etc.
  • Operate office equipment, such as copiers or phone systems, and arrange for repairs when equipment malfunctions.
  • Open, sort, and distribute incoming mail correspondence for departments.
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Take meeting notes and track action items as requested.
Requirements
  • High School Diploma or GED equivalent required.
  • Some college preferred.
  • Previous Administrative Assistant experience preferred.
  • Excellent verbal/written communication skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Power BI, etc.) & Adobe Acrobat Pro.
  • Excellent organization and coordination skills.
  • Ability to prioritize and meet time deadlines.
  • Advanced typing skills.
  • Critical Thinking & Problem Solving.
  • Time Management.
