We are currently seeking a Lead Legal Practice Coordinator to support our operations. This role involves collaborating closely with multiple partners and senior associates to oversee legal practices and execute intricate administrative responsibilities. Individuals in this position serve as essential representatives and strategic partners for the attorneys they support, their respective practice areas, and teams. They leverage their understanding of specific legal processes, terminology, and client needs to identify and address challenges effectively.
The ideal candidate will demonstrate outstanding organizational capabilities, sound judgment, and strong decision-making skills. They will excel in managing multiple tasks, prioritizing effectively, and adhering to deadlines.
Key Relationships
Timekeepers, clients, managers, practice assistants, other senior coordinators, practice specialists, and members of the Firmwide Shared Support Services team.
Core Responsibilities
• Drafting, revising, and proofreading correspondence and legal documents specific to practice areas, including document comparison reports and assembly of binders.
• Developing and modifying charts and spreadsheets with basic formulas.
• Creating and refining PowerPoint presentations.
• Addressing general client inquiries, ensuring timely and consistent responses to client requests (e.g., document modifications, scanning records, applying naming conventions, photocopying).
• Preparing and coordinating legal filings, both physical and electronic.
• Providing support during trials and hearings.
• Assisting with the new business intake process, including conflict checks and drafting engagement letters.
• Maintaining an organized electronic filing system, ensuring proper storage in the Firm's document management system.
• Organizing physical files, including intake, retention, retrieval, and transfer of records.
• Coordinating daily time entries for timekeepers.
• Preparing monthly client invoices, ensuring accuracy in billing narratives and compliance with client requirements.
• Understanding and drafting alternative fee arrangements.
• Collaborating with attorneys to create client and matter budgets, tracking payments and assisting with collections.
• Submitting expense reimbursement reports and coding vendor invoices for payment.
• Utilizing internal resources for research and administrative support, including Continuing Legal Education tracking and attorney licensing renewals.
• Coordinating travel arrangements and logistics for domestic and international trips.
• Managing phone communications, maintaining calendars, and scheduling meetings.
• Training and orienting new or less experienced staff members.
• Assisting colleagues with overflow work and providing support at client service functions.
• Contributing to marketing and business development initiatives as needed.
• Performing additional administrative tasks as directed by management or attorneys to support practice development efforts.
Qualifications and Skills
• Exceptional client service skills.
• Positive demeanor and ability to foster team collaboration.
• Strong communication skills, both verbal and written, with attention to detail in spelling and grammar.
• Ability to exercise sound judgment and analytical skills in decision-making and problem-solving.
• Capacity to work independently, prioritize tasks, and meet deadlines while maintaining attention to detail.
• Understanding and adherence to confidentiality in handling sensitive legal matters.
• Commitment to professional development and continuous learning.
• Proficiency in Microsoft Office Suite and familiarity with document management systems.
• Typing speed of 65 words per minute or higher.
Work Environment
This position operates in an office setting and primarily involves sedentary work with routine use of a computer and standard office equipment.
Compensation
