Overview:
The Office Coordinator role is essential for maintaining a dynamic and efficient front office environment. This position requires a proactive approach to administrative tasks while fostering positive interactions with clients and visitors throughout the day.

Key Responsibilities:
The Office Coordinator will be responsible for various administrative duties that support the overall operations of the office. The following are essential functions of the role:

Front Office Management


Welcome visitors to the office, ensuring they are directed to the appropriate staff or provided with product information as needed.

Handle incoming phone calls and schedule appointments according to established protocols.
Confirm appointments through email and phone communication.

Monitor and analyze performance metrics related to sales and customer interactions.

Maintain accurate records and updates in the company’s database.

Direct calls to the appropriate departments and communicate with staff regarding call availability.


Assist the service department by forwarding calls and ensuring timely communication with team members.

Support open house events by managing visitor flow and providing assistance as necessary.

Manage the distribution of incoming and outgoing mail and packages.

Encourage and motivate the sales team by recognizing their achievements.

Document all customer interactions in the company’s CRM system.

Facilitate customer service inquiries and coordinate sales efforts to ensure a seamless experience for clients.


Provide exceptional customer service by addressing inquiries, order statuses, and service requests while assisting the office team as required.

TRAVEL REQUIREMENTS
