Administrative Support Specialist

At Service Corporation International, we're dedicated to celebrating lives and honoring those who have passed. As an Administrative Support Specialist, you'll play a vital role in supporting our funeral home, cemetery, and crematory operations. Your responsibilities will include providing administrative support, assisting with special projects, and resolving problems. You'll schedule meetings, draft memos, transcribe notes, create presentations, generate reports, and prepare and monitor invoices and expenses.
Key Responsibilities:
- Schedule meetings and appointments with clients and staff
- Make travel arrangements and plan events
- Complete management expense reports and respond to inquiries in writing and verbally
- Pull monthly reports and enter contract details into our information system
- Order and check memorial items to ensure accuracy
- Process annual funeral home and cemetery license renewals
- Code and scan invoices, process accounts payable, and provide accounting support
- Receive and direct incoming telephone calls, assist callers with questions or comments, and schedule call-in appointments for Sales
- File and maintain customer information, office supplies, and equipment
- Prepare daily schedules and administer HR processes, including new hire paperwork, background checks, and bonus processing
- Maintain processes to ensure compliance with policies and procedures, including SOX administration and audit
- Train others on policies, procedures, and new company initiatives
- Provide a friendly and welcoming attitude to all visitors
Education:
- High school diploma or equivalent
- 3 years of experience in a customer-focused and fast-paced professional environment
- Advanced computer, internet, and word processing skills
- Working knowledge of office equipment, including calculators, copiers, printers, fax machines, and telephone consoles
- Ability to handle confidential and sensitive information with discretion
- Effective communication skills, both orally and in writing
- High level of compassion and integrity
- Ability to follow instructions and work with minimal supervision
