Primary Responsibilities:

Reception Coordinator Duties (90% of your time):

  • Provide exceptional customer service and administrative support.
  • Welcome all patients and offer refreshments.
  • Facilitate patient check-ins and ensure the schedule accurately reflects appointment statuses.
  • Assist patients with check-outs and schedule follow-up appointments.
  • Maintain the schedule book with accountability.
  • Direct visitors to the appropriate personnel for assistance.
  • Conduct appointment confirmation calls.
  • Prepare and organize patient charts for the following day based on scheduled appointments.
  • Establish new patient charts.
  • Manage inventory of front office supplies.
  • Monitor and respond to emails, forwarding them to the relevant staff members.
  • Organize and maintain the filing system.
  • Ensure the Front Desk and Lobby areas are tidy and welcoming.

Billing Responsibilities:

  • Process patient payments efficiently.
  • Generate daily close-out reports from the scheduling system and verify their accuracy.
  • Complete deposit slips for all cash and check transactions.

Occasional Medical Assistant Duties (10% of your time):

  • Schedule post-operative appointments.
  • Ensure timely retrieval of individual medical records upon request.
  • Oversee the collection, processing, maintenance, storage, and appropriate access to patient and clinical records.
  • Assist with pre-operative and post-operative visits as needed.
  • Prepare the procedure room, ensuring all pre-operative preparations are met.
  • Clean and sterilize the operating room and instruments post-procedure, disposing of contaminated materials promptly.
  • Prepare instruments and equipment required for surgical procedures.
  • Assist with the application of post-procedure dressings and garments, prioritizing patient comfort.
  • Support other staff members in their duties.
  • Uphold patient confidentiality and ensure compliance with HIPAA regulations.
  • Contribute to the clinic's achievement of Key Performance Indicators for operational and sales targets.
  • Explain treatment procedures, medications, and physician instructions to patients and caregivers as per established standards.
  • Assist in maintaining appropriate levels of medical supplies.

Physical Requirements:

  • Utilize telecommunication and computer devices while interacting with patients, caregivers, physicians, and staff.
  • Maintain vision and hearing acuity.
  • Stand and walk for extended periods in a fast-paced environment.
  • Lift up to 25 pounds as necessary.

Key Skills and Qualifications:

  • Current BLS certification is required.
  • Ability to interpret various forms of instructions, including written, oral, and diagrammatic.
  • Proficient in writing reports and correspondence.
  • Strong problem-solving skills and logical reasoning abilities.
  • Familiarity with MS Office, particularly Excel.
  • Basic mathematical skills for calculations.
  • Knowledge of surgical and medical instruments, including operating room equipment.

Education:

Completion of a Medical Assistant program from an accredited institution, meeting state requirements.

Licenses & Certifications:

  • Required: Medical Assistant Diploma
  • Preferred: Advanced Cardiac Life Support Certification
