Position Overview

The Legal Administrative Coordinator plays a crucial role in delivering exceptional administrative assistance to a team of attorneys and professionals, ensuring that the needs of both the firm and its clients are met with efficiency and precision.

Key Responsibilities

  • Prepare, format, edit, and proofread various documents including Word files, Excel sheets, and PowerPoint presentations.
  • Draft standard correspondence and forms under the guidance of attorneys or professionals.
  • Manage incoming calls and inquiries from clients and staff, directing them to the appropriate personnel as necessary.
  • Assist in organizing attorneys' schedules by coordinating appointments, meetings, and travel arrangements.
  • Handle travel logistics for both domestic and international trips, including booking flights, accommodations, and car rentals.
  • Oversee the processing of reimbursements, invoices, and financial requests.
  • Conduct conflict checks, initiate new client matters, and draft necessary engagement documents, ensuring compliance with firm protocols.
  • Prioritize and distribute incoming mail, coordinating mailings and filings as needed.
  • Utilize workflow tools to manage and track work requests from attorneys, adhering to established deadlines.
  • Perform routine clerical tasks such as filing, photocopying, and document distribution, while liaising with various administrative departments.
  • Independently manage complex assignments, ensuring timely and accurate completion of tasks.
  • Provide clerical support to non-legal departments when required.

Qualifications

  • 5 to 10 years of experience in providing administrative support to legal professionals.
  • Experience in real estate and litigation is preferred.
  • Proficient in Microsoft Office Suite and familiar with document management systems.
  • Demonstrated expertise in core legal administrative functions, with strong technical and communication skills.
  • Able to thrive in a fast-paced environment, effectively managing multiple priorities.
  • Exceptional attention to detail, grammar, and punctuation, with the ability to present ideas clearly.

Education

A Bachelor's Degree is preferred.

Compensation and Benefits

In accordance with applicable pay transparency laws, the hourly pay range for this position is $56.30. Actual compensation will be determined based on individual qualifications and experience.
