The U S National Whitewater Center is seeking an Event Planning Specialist to oversee the coordination and management of private group events and assist in the execution of public gatherings. This role is essential in addressing the needs of incoming group inquiries, including determining program specifics, generating proposals, and ensuring seamless event execution.
This position can be either a full-time, on-site role with benefits or a seasonal on-site position working full-time during peak months.
Key Responsibilities:
- Engage with clients in a courteous, clear, and confident manner through various communication channels.
- Provide comprehensive information regarding group activities, venues, and catering options, ensuring clients receive tailored guidance.
- Conduct thorough reviews of purchased services, participation requirements, and expectations for arrival.
- Prepare for group bookings to facilitate a smooth check-in process, including the distribution of wristbands and delivering welcome orientations.
- Document group inquiry details for tracking and follow-up, fostering relationships with clients to promote repeat business.
- Lead tours of the facility for prospective and returning clients.
- Collaborate with various departments to enhance the overall experience for each group event.
- Maintain up-to-date knowledge of activities, products, and services available at the center.
- Perform additional duties as assigned.
Qualifications:
- Ability to thrive under pressure and make independent decisions.
- Resourceful with a solution-oriented mindset to address conflicts positively.
- Outgoing and friendly demeanor with exceptional communication skills.
- Commitment to professional grooming and appearance standards.
- Willingness to work evenings, weekends, and holidays as required.
Preferred Qualifications:
- Bachelor's Degree in Business, Hospitality, or a related field.
- Previous experience in customer service, sales, or a similar role.
Physical Requirements:
- Ability to work outdoors in various weather conditions for extended periods.
- Capacity to lift and carry up to 50 pounds.
- Ability to bend, stand, lean, and kneel regularly.
- Capability to navigate uneven terrain safely.
- Willingness to work in shared environments with colleagues and guests.
