Position: Executive Assistant

Role Purpose: The Executive Assistant to the CEO is crucial in maintaining the seamless operation of the executive office. This role is designed to facilitate the CEO's focus on strategic priorities by managing daily tasks such as meal orders, travel arrangements, and meeting schedules.

Key Responsibilities:

  • Calendar Management: Oversee the CEO's schedule, coordinating meetings, appointments, and travel plans while liaising with internal and external stakeholders.
  • Travel Coordination: Organize travel logistics, including itineraries, accommodations, and transportation for both domestic and international trips.
  • Meeting Preparation: Develop meeting agendas and prepare necessary materials to ensure the CEO is fully equipped for discussions and presentations.
  • Document Management: Maintain and organize essential documents and files for easy access and retrieval.
  • Information Flow: Ensure timely communication of critical updates to and from the CEO's office.
  • Follow-Up: Monitor action items and deadlines from meetings, ensuring the CEO remains informed and accountable.
  • Confidentiality: Uphold the highest standards of discretion regarding sensitive information.
  • Personal Assistance: Occasionally assist with personal errands and tasks for the CEO.
  • Relationship Management: Foster and maintain relationships with key contacts and stakeholders.
  • Emergency Response: Be prepared to address urgent matters as they arise, including outside of regular hours.
  • Continuous Improvement: Identify and implement process enhancements to boost office efficiency.
  • Professional Development: Stay informed about industry best practices to enhance executive support skills.

Qualifications:

  • 2-3 years of experience in supporting executive leadership.
  • Proficient in managing complex calendars.
  • Experience in arranging domestic and international travel.
  • Ability to assist in creating presentations using PowerPoint.
  • Strong proficiency in MS Office Suite, including Word, Excel, PowerPoint, and Outlook.
