OBJECTIVE OF THE POSITION:

The Senior Specimen Coordinator is tasked with investigating and addressing unique submissions from clients. This role is pivotal in managing the processing of a significant volume of samples received by the department. The Coordinator is responsible for maintaining an accurate inventory of samples post-testing by logging them into storage systems. Additionally, they will conduct searches within the laboratory for any samples that have not been recorded in the storage system. Cross-training may be provided to perform fundamental Laboratory Technician or Lab Aide responsibilities. The role may also encompass various support functions, including inventory management, record maintenance, cleaning, clerical tasks, and handling supply shipments.

KEY RESPONSIBILITIES:

  • Receive and prepare samples for distribution to the main laboratory.
  • Extract specimens from transport bags and divide as necessary for multiple tests.
  • Retrieve and prepare additional tests and rechecks.
  • Efficiently process Avian/Exotic, manifest, and problem specimens at a rate of 40 accessions per hour.
  • Accurately handle standard requisitions per established procedures at rates of 72 accessions per hour, heartworm multi-test forms at 150 accessions per hour, fecal multi-test forms at 150 accessions per hour, and 2-D requisitions at 90 accessions per hour.
  • Document specimen information, label and number slides, specimens, and submissions. Input specimen data into the database, scan tubes, and perform other post-production tasks as needed. Ensure the accuracy of all recorded information.
  • Confirm that samples are stored in the correct locations.
  • Complete Add Log/recheck specimens promptly and thoroughly.
  • Assist Leads/Supervisors in training new staff.
  • Support other laboratory personnel with specimen storage as required.
  • Sort samples for distribution across the laboratory (e.g., X-rays, Coggins, cytology).
  • Ensure that Turn Around Times (TATs) are consistently met.
  • Understand and adhere to applicable Standard Operating Procedures (SOPs), including safety and quality protocols. Maintain a clean and organized workspace. Restock supplies as necessary.
  • Engage in initiatives aimed at enhancing laboratory efficiency, quality, and teamwork.
  • Handle various support tasks, including managing supply inventory, record-keeping, shipping and receiving, cleaning, and other related duties. Monitor supply levels, organize stockroom, and ensure documentation aligns with established SOPs.
  • Possess knowledge of medical and laboratory terminology and specimen processing techniques.
  • Work under close to moderate supervision with limited independence.
  • Consult with senior colleagues on processing tasks to gain practical experience.
  • Receive general instructions for routine tasks and detailed guidance for new assignments.
  • Exhibit basic skills with a moderate level of proficiency.
  • Apply job skills and laboratory policies to complete a variety of tasks.
  • Handle specimen processing tasks that are semi-routine without deviating from SOPs.
  • Participate in special projects and other duties as assigned.
  • Demonstrate reliable and consistent attendance as a critical function of the role.
  • Perform additional duties as required.

EDUCATION AND EXPERIENCE:

  • High School Diploma or equivalent combination of education and experience, preferably in a science-related field.
  • Typically 3-5 years of relevant work experience.

SKILLS AND ABILITIES:

  • Laboratory skills and experience are advantageous.
  • A general science background, including knowledge of hematology and chemistry, is beneficial.
  • Strong attention to detail.
  • Organized with the ability to manage multiple tasks in a fast-paced environment.
  • Ability to work independently as well as collaboratively within a team.
  • Effective communication skills, both verbal and written.
  • A positive, proactive attitude.
  • Basic math, interpretive, and analytical skills.
  • Proficient data entry skills (minimum 6,000 KPH).
  • Proficient in personal computer skills, including strong typing ability and adept use of Microsoft Office.

PHYSICAL REQUIREMENTS:

  • Extensive periods of sitting, phone, and computer use.
  • Ability to stand continuously for up to 2 hours.
  • Capability to extend and reach with hands and arms and utilize hands and fingers.
  • Occasional requirements to climb, balance, bend, stoop, kneel, or crouch.
  • May need to lift, move, and carry up to 50 lbs.
  • Specific vision abilities required include close vision, color vision, depth perception, and the ability to adjust focus.
  • Effective hearing ability to communicate via telephone and in person.
  • Ability to communicate verbally in person and over the phone.
  • Fluency in the English language is essential.
  • Extended hours may be necessary.

WORK ENVIRONMENT:

  • Laboratory setting with potential biohazards present.

Exposure to agents known to cause zoonotic diseases in humans and the use of potentially hazardous chemicals as defined by the National Hazard Communication Standards. A comprehensive list of such chemicals is available from department supervision.
