KEY RESPONSIBILITIES:

Operational Excellence:


Foster a positive workplace culture; actively support clinician and staff engagement initiatives to enhance the organizational culture and connection.

Oversee the scheduling process for all patients, ensuring that all documentation is complete, payment information is current, and patient charts are prepared.

Perform general office tasks to maintain a smooth operation and readiness for patients and clinicians.

Monitor the Practice Group phone queue to ensure resources are effectively allocated to manage incoming call demands while balancing other responsibilities.

Collaborate with fellow Practice Coordinators to achieve key performance indicators (KPIs).

Lead the adoption of new procedures at the practice level as directed by management.

Step in to cover front office staff absences as necessary to ensure continuous support for our patients and clinicians.


Patient Support:


Deliver outstanding customer service by promptly addressing patient needs and effectively managing challenging or sensitive situations in accordance with established protocols.

Manage front desk operations, including welcoming and checking patients in and out with professionalism.

Assist patients with inquiries via phone, email, or online portal regarding billing, scheduling, and other requests.

Ensure timely response to calls within the phone system to maintain high standards of customer service.
Support patients with telehealth access, portal issues, and other troubleshooting as required.
Address urgent requests; triage patient concerns and direct them to the appropriate departments or escalate as needed.
Collect co-payments and account balances at the time of service.
Verify insurance eligibility and proactively resolve any issues with patients.

Clinician Support:
Provide general administrative support to clinicians, assisting with inquiries and tasks such as sending correspondence and faxes.
Coordinate with clinicians regarding any additional patient inquiries.
Support clinician schedules by ensuring appointment accuracy.
Maintain a welcoming, secure, and motivating work environment within the practice.

Qualifications:
Ability to manage multiple tasks and prioritize responsibilities to ensure a high-quality patient experience.
Capable of working independently as well as collaboratively within a team.
Excellent communication skills, both written and verbal.
Proficient in computer software applications, including Microsoft Office and electronic medical records (EMRs).
Comfortable handling sensitive and confidential information in compliance with privacy regulations.

Education and Experience:
A high school diploma or equivalent is required; an associate's or bachelor's degree is preferred.

A minimum of 2 years of proven success in a healthcare operations role or at least 1 year of exceptional performance in a similar position.
