Position Overview:

Core Responsibilities:

  • Oversee ticketing and hospitality management for the organization.
  • Administer the sports partnerships calendar and manage event logistics.
  • Handle sports inventory and company-branded marketing materials.

Location:

Orlando, FL

Work Schedule:

Standard hours are Monday to Friday, 9 AM to 5 PM, with evening and weekend on-call duties as required.

Key Duties:

  • Maintain and execute all hospitality asset inventories.
  • Coordinate catering and food services for hospitality events as necessary.
  • Disseminate event day information via email and address inquiries as they arise.
  • Develop and manage the annual events calendar, ensuring clear communication across platforms.
  • Track and report on ticketing utilization.
  • Research potential sports partnerships.
  • Manage logistics for events and attend partner functions when appropriate.
  • Facilitate post-event evaluations and debriefs with the planning team.
  • Control inventory of event materials, ensuring alignment with brand messaging.
  • Oversee the inventory of promotional items, ensuring they meet internal and external demands.
  • Lead an event planning committee, organizing meetings and providing updates to leadership.
  • Collaborate with external agencies to create marketing materials and signage as needed.
  • Identify and coordinate internal representatives for events, ensuring adequate participation.
  • Manage budgets related to ordered items, catering, and departmental expenditures.
  • Understand the target audience and devise engaging activities for attendees.
  • Source and procure branded giveaways to support sports partner initiatives.
  • Coordinate logistics with event sponsors and other external parties.
  • Act as the onsite liaison between the organization and partners to ensure preparedness.
  • Work closely with the Sports Partnerships Manager to ensure the success of internal projects and events.
  • Maintain a comprehensive understanding of internal stakeholders and their roles.
  • Collaborate with leadership to assess sponsorships and community engagement opportunities.
  • Provide exceptional service to both internal and external stakeholders.
  • Adhere to attendance policies and maintain compliance with organizational standards.

Additional Responsibilities:

  • Regularly assess the effectiveness of assigned events and initiatives.
  • Engage in professional development through workshops and training to stay updated on industry trends.

Qualifications:

Education: Bachelor's degree required.

Licensure: Valid Florida driver's license with insurability under Orlando Health's insurance standards.

Experience: Minimum of two years in a business environment with a focus on event coordination and ticketing systems. Strong organizational, communication, and facilitation skills are essential.

Preferred: Experience with ticketing platforms.
