This role is essential in delivering exceptional customer service to patients, clients, and various departments. The individual in this position will manage patient inquiries, handle incoming calls, and coordinate HME operational activities with other personnel, adhering to established guidelines. Responsibilities include patient billing, cash handling, account management, scheduling, and retail operations.
Key Responsibilities
- Foster a culture of continuous improvement and customer satisfaction to enhance service delivery.
- Manage incoming telephonic inquiries related to HME, ensuring a positive experience for patients.
- Maintain and update patient account profiles and referral source information accurately.
- Prepare and process patient documentation at intake, ensuring all data is entered correctly, including demographics, physician details, diagnoses, and payer information.
- Secure necessary medical documentation prior to submitting HME claims.
- Troubleshoot HME equipment issues to assist patients effectively.
- Stay informed about current HME products and services to provide accurate information.
- Communicate delivery schedules to patients regarding HME products.
- Enter and verify work orders, ensuring accuracy and timely completion.
- Provide prompt and professional service to retail customers, addressing inquiries and processing transactions at the cash register.
- Assist in the implementation and maintenance of effective tools and services to meet operational goals.
- Educate patients and caregivers on the proper use of equipment and ensure all necessary documentation is signed.
- Oversee inventory control and purchasing processes for HME supplies.
- Validate delivery tickets to ensure patient signatures are obtained.
- Adhere to policies and procedures related to HME operations and maintain compliance with accreditation standards.
- Understand and comply with Medicare and other payer regulations regarding billing and dispensing of HME products.
- Perform the necessary clinical and technical competencies required for the role.

Required Qualifications
- High School Diploma or GED, or
- At least one year of relevant experience in a healthcare or retail environment, or
- One year of experience in the DME/HME sector.
Preferred Qualifications
- Associate's Degree in a related field from an accredited institution.
- One year of experience in HME retail.
- Familiarity with Brightree Software.
- Experience in Durable Medical Equipment.
Knowledge and Skills
- Proficient in Microsoft Office applications.
- Understanding of Lean principles and methodologies.
- Strong analytical and problem-solving abilities.
- Ability to thrive in a fast-paced environment while managing multiple priorities effectively.
