Job Summary

We are seeking a highly organized and detail-oriented Office Manager to provide administrative support to the Chair of the Department of Theatre and Dance. The successful candidate will be responsible for a variety of administrative and secretarial duties, including assistance with graduate student records, coordinating meetings and conferences, and providing technical support to faculty members.

Key Responsibilities
  • Perform administrative and secretarial duties for the Chair, Associate Chair, Graduate Director, and faculty members, including mail distribution, generating reports, and making copies.
  • Make arrangements for meetings and conferences, coordinate faculty travel, and complete and process necessary paperwork.
  • Assist faculty members with technical needs, including computers, video, television, projection, and basic Microsoft Word, Excel, and Outlook functions.
  • Prepare agendas, reserve space, draft and edit presentation materials, and distribute printouts.
  • Act as liaison for the Tenure and Promotion committee and facilitate communication with Admissions, Financial Aid, and the Registrar's Office concerning graduate students.
  • Represent the Theatre Program in contact with other university officials and departments for the purpose of coordinating various theatre program activities and building repairs.
  • Assist with graduate student and undergraduate recruiting, including coordinating and processing the preparation of graduate recruitment materials.
  • Attend departmental faculty meetings, record minutes, and produce and distribute agendas and minutes to faculty prior to each meeting.
  • Maintain files of the Chair's correspondence and departmental records, and assist in proofreading and editing departmental materials.
  • Interpret and explain functions of the Theatre Program to the general public and other public or private agencies or organizations.
Requirements
  • Bachelor's degree or high school diploma and 4 years of work experience directly related to the area of employment.
  • Computer skills, especially word-processing, with Microsoft Word and Excel preferred.
  • Knowledge of University policies and procedures, and ability to handle constant interruptions and changes.
  • Attention to detail, ability to prioritize assignments, and work with minimum supervision.
  • Ability to communicate effectively, both verbally and in writing.
