Job Summary

The Memphis Zoo is seeking a highly organized and detail-oriented Private Events Operations Assistant to join our team. As a key member of our events team, you will be responsible for ensuring the smooth execution of all events booked through our catering services.

Key Responsibilities
  • Coordinate banquet setup, including room, food, linens, and other event details.
  • Monitor event areas for cleanliness and maintenance issues, working closely with our custodial and maintenance teams to address any concerns.
  • Attend and participate in weekly meetings, including sales and operations meetings, to stay informed and provide updates on event progress.
  • Maintain regular communication with all Zoo departments to ensure seamless event execution.
  • Remain calm and composed under stressful circumstances, making quick decisions as needed to ensure event success.
  • Work closely with our Private Event Sales Manager during the booking and turnover process, and with our Private Event Coordinator during the planning process.
  • Conduct thorough checks of event spaces before events to ensure all requirements are met, and coordinate last-minute changes as needed.
  • Work with limited supervision, demonstrating a high level of independence and self-motivation.
Requirements
  • 2 years of related experience in event operations or a related field.
  • Proficiency in catering software, such as CatereaseABC, and/or TIPS certification for alcohol service.
  • Strong critical thinking and problem-solving skills, with the ability to remain calm under pressure.
  • Excellent written and oral communication skills, with the ability to effectively communicate with diverse stakeholders.
  • Proficiency in MS Office, Point of Sale Systems, reports creation, and data management.
  • Ability to work flexible hours, including evenings and weekends, as needed.
Working Conditions

This is a part-time, hourly position that requires working in a fast-paced environment with multiple stakeholders. The employee may be exposed to wet and/or humid conditions, fumes or airborne particles, and vibration. The noise level in the work environment is low to moderately loud when on Zoo grounds and during private events.

Physical Demands

The physical demands of this role include frequent sitting, talking, and hearing, as well as constant use of hands and fingers to feel, handle, or operate objects, tools, or controls. The employee may be required to climb, balance, stoop, kneel, crouch, crawl, and walk, and may need to stand and walk for long periods of time. The ability to lift and/or move up to 50 pounds is also required.
