Job Summary

The University of Michigan is seeking an experienced Administrative Manager to join its team in the Adult Emergency Services department. As a key member of the Emergency Department Leadership Team, this role will be responsible for leading and managing the ED Clerical team to ensure comprehensive clerical and volunteer services for Adult Emergency Services and the Emergency Critical Care Center.

Key Responsibilities
  • Plan, review, and supervise the administrative and operational activities of ED staff in the Patient Services classification, including Patient Services Associates, Intermediate, and Senior.
  • Interview and select candidates for ED Patient Services positions.
  • Coach and mentor ED Patient Services team members regarding opportunities for performance and professional growth to enhance employee engagement and job satisfaction.
  • Develop, execute, and revise individual performance plans and professional advancement strategies for ED Patient Services team members.
  • Conduct probationary, periodic, and annual performance evaluations for ED Patient Services team members according to University of Michigan standards and schedule.
  • Propose and implement salary adjustments and reclassification for ED Patient Services team members.
  • Develop and implement a staffing plan for Patient Services team members consistent with department operations, budgetary guidelines, and University of Michigan Standard Practice Guide.
  • Oversee payroll processing for ED Patient Services team members.
  • Track and trend personnel expense, including use of overtime, unscheduled PTO, etc.
  • Develop and/or contribute to metrics that measure team productivity and proper allocation of resources.
  • Investigate and recommend technology and process improvements to increase staff efficiency.
  • Ensure appropriate training, education, and timely feedback is provided to continue development of a competent, skilled workforce with strong team values and excellent communication skills.
  • Promote Patient Service team involvement in department quality improvement initiatives.
  • Assure compliance with service excellence, diversity, and safety programs.
  • Monitor financial status of clerical budget allocations and initiate corrective action when required.
  • Prepare budget projections and plans, including staffing requirements for ED Director of Operations approval.
  • Resolve operating problems and employee complaints and grievances related to Patient Services team members.
  • Respond to inquiries and complaints from the public, patients, and staff related to Patient Services team members.
  • Partner with MM Volunteer Services to schedule, select, and orient volunteers to ensure consistent, appropriately trained volunteer coverage.
Requirements
  • Master's degree in Business or Health Care Administration, current or completed within 2 years.
  • Two (2) years' progressive management experience with responsibility for hiring, scheduling, payroll, performance evaluation, and monitoring for 30+ staff.
  • Experience and success working in a fast-paced, service-oriented environment with an ability to manage multiple projects simultaneously.
  • Experience in conflict resolution, coaching, and mentoring to promote professional working relationships.
  • Experience managing a team composed of direct and indirect reporting relationships.
  • Proficient with Excel, Microsoft Word, PowerPoint, and Visio.
  • Basic budgeting and financial analysis skills.
Preferred Qualifications
  • Two (2) years' management experience in a healthcare setting, preferably emergency department.
  • Experience with change management and lean process redesign.
  • Ability to engage team members and establish trust and cooperation from the team.
  • Proven flexibility to meet department and organizational needs of a 24/7 operation.
  • Demonstrated ability to communicate and collaborate in a manner that fosters team building with all levels of staff and management, both internal and external to the department.
  • Detail-oriented, good organizational skills, analytical, strong problem-solving/investigative skills, and ability to be self-directed.
  • Demonstrated commitment to patient and family-centered care.
  • Demonstrated commitment to diversity, equity, and inclusion.
  • Ability to work flexible hours to meet goals and deadlines.
  • Working knowledge of University policies, rules, and regulations.
  • Experience with Epic electronic healthcare record system.
  • Superior written and verbal communication skills.
