Administrative Assistant

Under the direction of the Director of Operations, the Administrative Assistant provides administrative support to PACE Southeast Michigan. This role is responsible for ensuring the smooth operation of the office and providing exceptional support to the team.

Key Responsibilities:
  • Administrative Support: Provides administrative support to the team, including scheduling appointments, arranging meetings, and completing travel arrangements.
  • Office Management: Maintains office practices and procedures, including the maintenance and revision of departmental document flow and filing systems.
  • Database Management: Maintains department databases, including contact information for donors, participants, caregivers, employees, elected officials, and community partners.
  • Reporting and Analysis: Prepares recurring and special reports and financial statements that depict department activities.
  • Event Planning: Assists with the planning and execution of fundraising, educational, grand opening, and other departmental events.
  • Communication: Ensures timely acknowledgement of donor gifts with thank you notes and prepares invoices for donor gifts.
  • Social Media: Schedules social media posts and contributes to content.
  • Record Keeping: Maintains department records and files, including tracking for compliance.
  • Order Management: Manages and processes specified orders with outside vendors for department and from other departments.
  • Volunteer Management: Maintains volunteer contact information.
  • Meeting Minutes: Compiles minutes from meetings and department huddles.
  • Signage: Updates center signage as needed at the direction of the Director of Public Affairs.
Requirements:
  • Education: High School diploma/GED required, Bachelor's Degree preferred.
  • Experience: 1 to 2 years of progressively responsible administrative work experience.
  • Skills: Computer literacy and proficiency in Microsoft office, web-based database programs, social media, with a requirement to type an average of 40-60 WPM.
  • Abilities: Attention to detail, excellent follow-through, flexibility, and excellent interpersonal communication skills - both verbal and written.
