About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at eTeam. As an Administrative Assistant, you will provide critical support to our department, ensuring the smooth operation of our daily activities.

Key Responsibilities
  • Provide administrative support to various levels of management, handling routine and non-routine assignments, projects, and other related administrative tasks.
  • Maintain accurate and up-to-date records, files, and databases, ensuring confidentiality and discretion when handling sensitive information.
  • Coordinate calendars, schedule meetings, and prepare correspondence, reports, and other documents as needed.
  • Screen, direct, and prioritize incoming correspondence and phone calls to appropriate parties, ensuring timely and effective communication.
  • Perform various administrative tasks, including typing, filing, and data entry, with a high degree of accuracy and attention to detail.
  • Assist with time administration, management of work orders, invoicing, and maintaining schedules and facility compliance commitment tracking.
  • Research issues and prepare summaries, memos, and other necessary documents as needed.
  • Act as a liaison between internal and external stakeholders, providing excellent customer service and communication skills.
  • Identify needs and gaps within the organization related to administrative activities and partner closely with the team to suggest solutions and implement improvements.
  • Provide backup coverage to other administrative support within the organization as needed.
Requirements
  • High school diploma or equivalent required; 5+ years of previous administrative experience preferred.
  • Strong organizational and time management skills, with a solid ability to take ownership of multiple projects and requests.
  • Excellent oral and written communication and interpersonal skills, with the ability to interact effectively with individuals at all levels of the organization.
  • Ability to work well under pressure, meet deadlines, and identify and resolve problems in a timely manner.
  • Strong overall administrative skills, including time administration, travel, expense reports, copying, scanning, and coordination of filing.
  • Knowledge of Microsoft Office and various software applications, including Word, Excel, and PowerPoint.
  • Ability to work independently and effectively handle multiple tasks simultaneously under pressure, completing assignments with close attention to detail and in a thorough, accurate, and timely manner.
  • Strong customer/client focus and teamwork skills, with the ability to maintain a high degree of confidentiality and effectively communicate with all levels throughout the organization.
