Job Summary

We are seeking a highly organized and detail-oriented HR Records Assistant to join our team at the Longview Independent School District. As an HR Records Assistant, you will play a critical role in maintaining accurate and up-to-date employee records, ensuring compliance with district policies and procedures.

Key Responsibilities
  • Process and maintain employee files, including receiving and routing changes, verifying completeness, and notifying employees of selection or non-selection for employment.
  • Operate the automated substitute system, including data entry and generation of reports, and provide training and support to users.
  • Receive and process requests for substitutes, schedule substitutes as needed, and maintain files for all employees and applicants.
  • Enter and update employee information in the central database, respond to requests for verification of employment, and prepare and maintain employee service records.
  • Administer the records storage and destruction process, assist with purging of records, and coordinate imaging of inactive HR records.
  • Prepare, distribute, receive, and process substitute applications, assist with screening of substitute applicants, and schedule, organize, and participate in substitute orientations.
  • Monitor long-term substitute assignments for benefits eligibility and certification requirements, and notify the director of human resources when parent notification is required.
  • Prepare, distribute, receive, and file substitute employee evaluation forms, and assist with the preparation of staff directories.
  • Prepare correspondence, forms, and reports according to district standards and requirements, and assist with the preparation and distribution of employment contracts.
  • Maintain confidentiality, follow district safety protocols and emergency procedures, and perform other duties as assigned.
Requirements
  • High school diploma or GED
  • Three (3) years of clerical and file maintenance experience
  • Proficiency in keyboarding and file maintenance, ability to use software to develop spreadsheets, databases, and do word processing, and ability to perform basic math
  • Excellent organizational skills, effective communication and interpersonal skills, and ability to read, speak, and understand English
