Job Summary:

Virginia Oncology Associates, a leading healthcare organization dedicated to cancer care and blood disorders, is seeking a highly skilled Patient Services Coordinator to support our offices in Suffolk. As a key member of our team, you will play a vital role in ensuring exceptional patient experiences and seamless clinic operations.

Key Responsibilities:

  • Greet patients and visitors in a prompt, courteous, and professional manner, checking them in and informing clinical staff of their arrival.
  • Provide and explain necessary paperwork for patients to complete prior to examination, collecting, proofing, and filing patient forms, and updating demographics and insurance information in the system.
  • Collect co-pays and balances, provide receipts, and communicate messages accurately and timely according to procedures.
  • Check patients out after examination, schedule returning appointments in accordance with physician and/or office guidelines, and provide patients with appointment details.
  • Record patient cancellations and missed appointments, reschedule appointments, and notify appropriate staff of the cancellation and make note in patient charts.
  • Provide general administrative support by filing charts and forms, maintaining the lobby area in a neat and orderly manner, and ensuring a legible supply of forms and office supplies.
  • Adhere to confidentiality, state, federal, and HIPAA laws and guidelines with regards to patient records.

Requirements:

  • Receptionist or office experience preferred.
  • 3 years of medical office experience with scheduling background in a busy practice strongly preferred.
  • Proficiency with computer systems and Microsoft (Outlook, Office Word, and Excel) required.
  • High school diploma or equivalent.
  • Ability to travel to other office locations if needed.
